Operational Audits · Focused Audit

Aviation documentation
& SOP audit.

An assessment of your operational manuals, SOPs and controlled documents: whether they are current, consistent, approved, distributed and actually used on the line.

Documents that exist,
tested against use

Many operators have manuals. Fewer have documentation that is current, consistent across documents, under control, and followed in practice. The audit tests each of those conditions with evidence.

It reviews the documentation; it does not approve it. Where content sits in an authority-accepted manual, findings are passed to the operator's accountable personnel. Rebuilding documents is a separate service: Manuals, SOPs & Documentation Control.

  • Operational manuals and SOPs
  • Controlled Document List and distribution records
  • Revision and amendment history
  • Forms and completed records
  • Observation of documents in use

Typical documentation findings

Uncontrolled copies

Printed and digital versions of different revisions in circulation.

No owner

Documents nobody is responsible for reviewing.

Inconsistency

Terms, responsibilities or limits that differ between documents.

Practice has moved on

Procedures that no longer describe how the work is done.

Changes not briefed

Revisions issued without crews being informed or trained.

Missing records

Forms not completed or not retained, leaving no evidence.

Seven tests for every document set

  1. Identification

Numbering, titles and revision status traceable.

  2. Approval

Approved by the person with authority to do so.

  3. Distribution

Current version held by everyone who needs it; superseded copies withdrawn.

  4. Version control

Revisions, change summaries and amendment log maintained.

  5. Consistency

No contradictions between manuals, SOPs and forms.

  6. Implementation

Procedures followed on the line; crews briefed on changes.

  7. Records

Completed records retained as evidence for the required period.

A clear view of what to keep, fix or rebuild

Scope-dependent: one manual, a function such as cabin or ground, or the full document set.

What changes
in the operation

  • One current version of each document
  • Contradictions removed before they cause errors
  • Evidence available when owners or clients ask
  • A clear plan for rebuilding only what needs it

Designed for
operators

For operators that need confidence in their documentation before an authority, client or owner review.

  • Private jet operators
  • Aircraft management companies
  • Corporate flight departments
  • New operations
  • Operators adding aircraft types

Before you enquire

What are common gaps in private aviation SOPs?

Procedures copied from another operator or aircraft type; several versions in circulation; no named owner; steps that no longer match how the work is done; checklists repeating the manual instead of supporting the task; and no record that crew were briefed on changes.

Why is document control important in business aviation?

Crews must work from the current procedure, and the operator must be able to show which version applied on a given date. Without document control, outdated instructions stay in use, changes do not reach the line, and evidence is missing when an owner, client or authority asks for it.

How is this different from your Manuals & SOPs service?

The audit assesses the documentation you have. The Manuals, SOPs & Documentation Control service builds or rewrites it. Many operators start with the audit to decide what needs rebuilding.
